Global Workflow Partition Pattern

Instead of pausing multiple workflows individually, create a single control property that acts as a switch for your entire portal. One property controls holiday behavior across all your workflows โ€” simpler to activate, harder to forget to reset.

1 Setup

  • 1

    Create a contact property "Portal Mode"

    Dropdown with options: Normal, Holiday

  • 2

    Add an if/then branch at the start of each affected workflow checking this property

  • 3

    Configure each branch:

    • Normal branch: Standard routing, emails, and timing
    • Holiday branch: Backup owner routing, modified messaging, adjusted SLAs

2 Activation

  • Before holiday:

    Select all contacts โ†’ Edit โ†’ Set "Portal Mode" to "Holiday"

  • During:

    Create a workflow to set new contacts to "Holiday" mode during the period

  • After holiday:

    Select all contacts โ†’ Edit โ†’ Set "Portal Mode" to "Normal"

Pro Tip: Automate the Switch

Create scheduled workflows that run at specific dates/times to switch modes automatically โ€” set it once in early November and forget about it.
